The application system lets members apply by filling in a form through a panel you post in a channel. The completed form lands in your staff channel; staff approve or reject it with one click.
The window above shows the Application Center panel and Zoe's application arriving in the staff channel. Alex approves it; the card turns green, the Moderator role is given, and the result is written both on the card and to Alex.
Applications step by step
How does it work?
- The form is made from the first 5 questions you write on the dashboard. Every question is required and has a long answer field.
- The application lands in the staff channel with the applicant's name, avatar and user ID. Very long answers are split across several messages; no answer is lost.
- Only people with one of the Reviewer Staff Roles and people with the Administrator permission can use the Approve and Reject buttons.
- Once a decision is made, the applicant gets an "Approved" or "Rejected" notice by direct message. If their DMs are closed, this step is skipped.
Keep questions short
Discord limits form labels to 45 characters; longer questions appear cut off in the form. The staff card shows the full question. Fit the meaning of each question into the first 45 characters.
Setup
Step 1
On the dashboard, pick your server on the My Servers page.
Step 2
Open the Application System card.
Step 3
Choose the Channel for Incoming Applications and the Channel for the Apply Button.
Step 4
Choose the Reviewer Staff Roles and, if you like, the Role Given on Approval. Write the questions one per line.
Step 5
Click Save, then send the Application Center message with Send Panel to Channel.
| Setting | Default | What it does |
|---|---|---|
| Channel for Incoming Applications | Empty | The staff channel where application cards go. If it isn't set, the form can't be submitted. |
| Channel for the Apply Button | Empty | The channel where the Application Center panel is sent. |
| Reviewer Staff Roles | Empty | Roles that can use Approve / Reject. If empty, only administrators can decide. |
| Role Given on Approval | Don't give a role | Given to the applicant automatically on approval. If empty, only the status and the DM are updated. |
| Questions | Why do you want to be staff? · How many hours a day are you active? · Do you have any previous experience? | One question per line; up to 5 questions are used. |
If the role can't be given
The bot's role must be above the role given on approval, and the bot must have the Manage Roles permission. If the role can't be given, the application is still approved; the reason (such as "above the bot's role" or "the member is no longer in the server") is written on the card and to the staff member who decided.
Keep the staff channel private
Members' answers are fully visible on application cards. Choose a channel only staff can see as the Channel for Incoming Applications.
Frequently asked questions
Can I open separate forms for different positions?
There is one question list per server. To separate positions, you can make the first question something like "Which position are you applying for?"
Where do I see who the applicant is?
The applicant's name and avatar are at the top of the card, and their user ID at the bottom. Applications are not anonymous.
Can a decision be undone?
No. Once a decision is made, the card is updated and the buttons are removed. If needed, you can remove the given role manually.
If I send the panel message again, does the old one keep working?
Yes. The button is tied to the server; whichever panel it is clicked on, the form opens with the current questions.
Can a member send more than one application?
Yes. The bot doesn't limit the number of applications; each submission lands in the staff channel as a separate card. You can spot repeat applications by the user ID on the card.
How does the applicant know their application went through?
When the form is submitted they get the reply "Your application was sent to the staff.", visible only to them. They also get a direct message when a decision is made.
I get the reply "The system log channel isn't set up!"
The Channel for Incoming Applications isn't set. Choose the channel on the dashboard and save. If a channel is set and you get "Application channel not found.", the channel may have been deleted; choose a new one.
