The registration system collects the information you choose from new members step by step and sends the registration for staff approval. Approved members automatically get the roles you picked in the dashboard and a formatted nickname.

In the window above, Alex joins the server and completes the verification and gender steps in DMs. His details land in the registration log channel as a registration file; staff can choose Approve, Reject, Edit or Ask Question from there.

Registration step by step

The steps and what they do

You choose which steps are asked in the dashboard. Enabled steps always come in this order:

Members who don't answer aren't kicked

If a member stalls on a step, the bot does nothing. The only setting that kicks a member when time runs out is Auto-reject time; it is off by default. The one exception is the age limit: when age verification is on, members under the limit are removed from the server.

If the member's DMs are closed

If the bot can't send a DM, it doesn't kick the member. Instead, it leaves an entry message mentioning the member in the Registration / welcome channel. When the member clicks the button there, the same steps open in a form only they can see; what they type doesn't show up in the channel.

Buttons on the staff card

Approve

Gives the roles, sets the nickname and saves the date of birth. The member gets an approval message; if the Welcome system is on, they are welcomed.

Reject

Sends the member a rejection message and kicks them from the server. The card stays marked "Rejected".

Edit

Lets you fix the name, date of birth or gender. If the member doesn't respond within 1 minute, the change counts as confirmed.

Ask Question

Sends the member a question by DM (up to 500 characters). The member's answer within 5 minutes is written under the card.

Approve, Edit and Ask Question need the Registration Staff Role or the Manage Roles permission. For Reject, the Registration Staff Role or the Kick Members permission is enough.

Missing details can't be approved

If the answer to an enabled step is missing, Approve doesn't work and staff are told which details are missing. After an edit, the Approve button also stays locked until the member confirms.

What happens after an edit?

When staff fix a detail, the member gets a DM with the updated details and Confirm and Deny buttons. If the member confirms, Approve is unlocked again. If they deny, a "rejected the details" note is posted in the channel and staff edit the details again. If the member doesn't respond within 1 minute, the details count as confirmed.

If the member leaves the server while waiting for approval, the card is marked "User Left" when Approve is clicked; the details stay on the card.

Auto-reject

If Auto-reject time is greater than zero, members who don't finish registering within that time are removed from the server. Members who have finished and are waiting for staff approval, or who already have the Registered role, are left alone.

Setup

Step 1

In the dashboard, pick your server on the My Servers page.

Open the Registration System card.

Choose the Registration Staff Role, the Registration / welcome channel and the Registration log channel.

Step 4

Turn on the toggles for the steps you want to ask. The related settings appear under each toggle you turn on.

Step 5

Click Save. From then on, every member who joins goes through the registration flow.

Which variables can the name format use?

{name} or {isim}: the name the member typed. {age} or {yas}: the age calculated from the date of birth. {gender} or {cinsiyet}: the chosen gender. When a variable is empty, the separator next to it is removed too; if the age is unknown, Ali is written instead of Ali | .

How does Button Registration work?

When it's on and a Registration / welcome channel is selected, a "joined the server" message with a Register button is posted in that channel for each member who joins. If verification steps are enabled, the button starts the same steps in a form only the member can see; if no steps are enabled, it completes registration in one click. A member who already has the Registered role gets "You are already registered." when they click it.

Role order

The bot can't give a role above its own role and can't change the server owner's nickname. Move the Registered, Unregistered, Male and Female roles below the bot's role, and give the bot the Manage Roles and Manage Nicknames permissions. Rejecting, the age limit and auto-reject also need the Kick Members permission.

Roles with admin permissions

Unless you are the server owner or an administrator, you can't save a role with dangerous permissions such as Administrator or Manage Roles as a registration role. The dashboard shows an error in that case.

If the date of birth step is on, the approved member's day and month are also saved to the Birthday system; the year isn't saved, so their age doesn't show in the celebration. You edit the welcome message sent after registration in the Welcome system.

Frequently asked questions

What happens if I don't choose a registration log channel?

The approval step is skipped. As soon as the member finishes the steps, the roles, nickname and date of birth are applied; if the Welcome system is on, the welcome message is sent too.

What happens if a member waits without answering?

Nothing. The registration session stays open for 24 hours. If you want them kicked after a certain time, enter the minutes in Auto-reject time.

Can a rejected member join again?

Reject doesn't ban the member, it kicks them. If they rejoin with an invite link, the registration flow starts from the beginning.

Can I set an age limit without asking for the birth year?

No. Age is calculated from the date of birth. When Age Verification is on, the date of birth step is asked too and the year is required.

Are pending registrations lost if the bot restarts?

No. Answers are stored in the database; staff can still click Approve later. Auto-reject also continues where it left off once the bot is back up.

What happens if the member closes the registration form?

The answers they gave are kept in the registration session. A member using the channel form continues from their last step by clicking the Open Registration Form button in the channel again.

Approved members don't get their roles

First check that the Auto role toggle is on and the Registered Role is selected; while this toggle is off, the bot doesn't give the Registered role. Then check the role order: the role must be below the bot's role.
